Fleet Administrator
Fleet Administrator – Totton – Up to £45,000
Our client, who are a UK Logistics company are looking for a Fleet Administrator to join their growing team in Southampton, UK
As Fleet Administrator, you will play a key role in the efficient management and operation of the company’s fleet. This role involves maintaining accurate records, ensuring compliance with legal and regulatory requirements, supporting driver recruitment and disciplinary procedures, and coordinating with internal teams and external suppliers to support daily fleet operations.

Hours: Monday to Friday – 08:00am to 17:00pm
Salary: Up to £45,000
Key Responsibilities:
- Maintain up-to-date records for all vehicles, including MOT, servicing, insurance, and compliance documentation.
- Ensure all vehicles adhere to legal and regulatory standards, including maintaining records for tachographs, driver hours, and vehicle inspections.
- Assist in planning vehicle maintenance schedules and coordinating with workshops or service providers.
- Generate reports on fleet performance, fuel usage, and maintenance costs for management review.
- Act as a point of contact for drivers, assisting with vehicle allocations, issue resolution, and processing expense claims.
- Assist in recruiting drivers by posting job advertisements, screening candidates, coordinating interviews, and ensuring compliance with company recruitment processes.
- Support the management of driver performance and conduct, assisting with disciplinary investigations, writing up reports, and ensuring proper documentation and adherence to company policies.
- Work with external providers for vehicle leasing, repairs, insurance claims, and part replacements.
- Process invoices, maintain fleet databases, and manage contracts related to fleet operations.
Key Skills and Requirements:
- Experience in fleet management for a UK-based transport company
- Strong organisational and administrative skills.
- Attention to detail with the ability to manage multiple tasks effectively.
- Proficiency in using fleet management software and Microsoft Office.
- Knowledge of transport regulations and compliance standards is an advantage.
- Excellent communication skills for liaising with drivers, suppliers, and internal teams.
- Experience in driver recruitment and handling disciplinary procedures.
